Retainer and Booking Fee
To officially reserve a session date and time with Parker Visual LLC, a non-refundable retainer (referred to as a “booking fee” in client-facing communications) is required at the time of booking. No session is confirmed, and no date is held, until the retainer has been received and acknowledged.
The retainer is earned by Parker Visual LLC upon receipt as compensation for reserving the scheduled time slot and declining other bookings for that date. It is not a deposit toward services not yet rendered. The retainer amount is applied toward the total session fee.
Payment of the retainer constitutes your agreement to these terms.
Cancellation by the Client
Cancellations made 7 or more calendar days before the session — The retainer is forfeited. No additional charges will be applied beyond the retainer already paid.
Cancellations made fewer than 7 calendar days before the session — The retainer is forfeited. The remaining session balance may also be charged at Parker Visual LLC’s discretion, as last-minute cancellations prevent the time slot from being filled and represent a direct loss of income.
No-shows — If the client does not appear and does not contact Parker Visual LLC prior to the session, the full session fee is due. A no-show is treated as a same-day cancellation and the time slot cannot be recovered.
Airbnb Experiences bookings — Sessions booked through Airbnb Experiences are governed by Airbnb’s own cancellation and refund policy, not this policy. Clients who book through Airbnb should refer to Airbnb’s platform terms for cancellation information.
Cancellation by Parker Visual LLC
In the rare event that Parker Visual LLC must cancel a session due to illness, emergency, or circumstances beyond our control, clients will receive a full refund of all amounts paid, including the retainer, or the option to reschedule at no additional cost. We will notify clients as early as possible in such situations.
Rescheduling
Clients may reschedule their session one time at no additional cost, provided a rescheduling request is submitted at least 72 hours before the original session date and time. The retainer transfers to the new date.
Rescheduling requests submitted with less than 72 hours’ notice are subject to availability and may require a new retainer to hold the rescheduled date. Parker Visual LLC will make reasonable efforts to accommodate rescheduling requests but cannot guarantee availability.
Rescheduling is not available as an alternative to cancellation in order to avoid forfeiting the retainer.
Weather and Emergency Rescheduling
Outdoor sessions may be rescheduled at no cost to the client if weather conditions make the session impractical or unsafe, including heavy rain, lightning, extreme heat or cold, or significant storm systems. Parker Visual LLC will initiate contact as early as possible when weather is a concern. The retainer is not forfeited in a weather-initiated rescheduling.
In cases of genuine personal emergency — serious illness, family emergency, or comparable circumstances — Parker Visual LLC will consider rescheduling requests on a case-by-case basis at our discretion. Documentation may be requested.
Late Arrivals
Sessions begin at the confirmed start time. Time lost due to a client arriving late is not added to the end of the session, as subsequent bookings may be affected. Parker Visual LLC will make reasonable efforts to maximize the remaining time.
If a client arrives more than 20 minutes late without prior notice, Parker Visual LLC reserves the right to treat the session as a no-show and apply the no-show policy above.
Delivered Images and Completed Services
Once your edited image gallery has been delivered and you have received access to your images, the session is considered complete and no refund will be issued for the session fee.
If you have a concern about the quality of your delivered images, contact us at Hello@ParkerVisual.com within 7 days of gallery delivery and we will work with you in good faith to find a resolution. Parker Visual LLC does not guarantee specific outcomes in terms of poses, expressions, or conditions beyond the photographer’s control.
Print Orders
Print orders placed through the online gallery platform or directly through Parker Visual LLC are produced by a third-party professional photo lab. Once a print order has been submitted for production, it cannot be cancelled, modified, or refunded.
Print orders that arrive damaged or defective should be reported to Hello@ParkerVisual.com within 5 business days of receipt, and we will work to resolve the issue with the lab. Please review all print selections carefully before placing your order.
